Volunteering for the Folks Festival

We are in full swing preparing for the 28th Annual Folks Festival. Part of what makes all of our festivals magical are the folks that volunteer to help us out. Each volunteer contributes their time and energy during the festival in exchange for a 3-day festival pass.

Volunteers represent Planet Bluegrass to thousands of Festivarians. If the thought of remaining sober during your shifts bums you out, volunteering is not for you. If greeting and helping Festivarians does seem like something you want to do, then we would love for you to be part of our team!
Eligibility & Requirements
- Only volunteers over the age of 18 may apply.
- Ability to work each day of the festival. You will be assigned three 4 hour shifts (approximately 12 hrs total), in exchange for a 3-Day Festival Pass. Each volunteer will be assigned a morning, afternoon, and evening/closing shift. There are a few positions Monday-Thursday before the festival. Please see location descriptions below for more details.
- Only applications filled out in its entirety will be considered.
- All applicants must enter credit card information. Upon acceptance, payment of the non-refundable processing fee of $12 will be applied.
Cancellation Deadline Dates & Fees
We understand that sometimes plans change and you are unable to volunteer. You may cancel anytime before Tuesday, July 17, 2018 with no cancelation fee.
- After July 17 (or you do not show up for any or all of your volunteer shifts): you will be charged a full ticket price of $165 plus the $75 late cancelation fee - totaling $240.
- Medical Exceptions: If you have a true medical emergency and need to cancel after our cancellation deadline date please contact me directly at 303-823-0848 x117 or email volunteers@bluegrass.com
How to Cancel
Simply send us an email letting us know that you will not be able to volunteer. I will email you back letting you know that your application has officially been withdrawn.
Refunds
We refund all purchased festival tickets prior to our festival refund deadline of March 23, 2018.
You do not need to purchase a ticket to volunteer. Refunds are for those who purchased a ticket before deciding to volunteer or for those who entered the On-Site Camping Lottery (which includes your 3 Day Festival Pass). Refunds are only given for the festival portion of the ticket. So, if you have purchased a On-Site Camping Pass, you will be refunded for the 3-Day portion of the pass only.
It is your responsibility to let the volunteer coordinator know you have purchased a festival ticket that needs to be refunded.
What Happens Next?
- Once you submit your application, you will automatically receive an email letting you know that your application has been submitted. This email does not mean you have been accepted as a volunteer and your credit card has not been charged.
- After your application has been reviewed, you will receive an Acceptance or a Wait List email.
- If you are Accepted - the $12 non-refundable application fee will be charged to the credit card you provided.
- If you receive a Wait List Email: This means that we are no longer accepting applications and all volunteer positions have been filled. Please remember that this does not mean you will not get a volunteer spot. Usually the first 100 people on the Wait List will get accepted.
- All positions are filled on a first-come, first-served basis, the only exception will be a preference for previous recommended Planet Bluegrass volunteers.
If you are accepted as a volunteer you will receive 4 emails from nicole@bluegrass.com:
- An Acceptance Email
- A reminder email that the Cancellation Deadline Date is approaching.
- Your Location and Schedule email (approximately 3 weeks prior to the festival)
- A reminder email a week before the festival.
Folks Fest Volunteer FAQ’s
- Is camping included?
- Camping is NOT included, but we will have several camping areas available. You can purchase tickets over the phone or via our website as long as camping is still available.
- Can my children accompany me while volunteering?
- We need your full attention during your scheduled volunteer shifts. So no, children may not accompany you during your volunteer shifts. They are welcome at the festival and in the campgrounds.
- Can I see my favorite band?
- We’ll make every effort to schedule you around your favorite band, but we can’t guarantee it. Please note on your application the one band that you can’t miss (if there is one).
- Can I volunteer with my friends?
- We make every effort to make sure you volunteer with your friends. There is a section on the application where you can put the person's name(s). Please submit applications within the same week. The closer you submit your applications, the more likely you will be able to work together. If you submit them too far apart the times may be filled.

Folks Festival Volunteer Positions
- Box Office
- If assigned to the box office, you will meet and greet Festivarians, exchange tickets for wristbands, sell festival tickets, help direct Festivarians, and answer questions. We are looking for organized and friendly folks who are willing to help out in a fast-paced environment.
Shifts are typically 4 hours each and begin as early as Tuesday before the festival begins through Sunday.
- Customs
- If working at customs, you’ll greet Festivarians, check that Festivarians are adorned with the proper wristband, and gently check backpacks for glass & alcohol. This is the main entrance to the festival and sets the tone of friendly Festivarianism. This position is for people who can work quickly with a smile.
These shifts are 4 hours each and all occur Friday-Sunday of the festival.
- VIP Parking
- Parking duties include greeting Festivarians, checking to make sure that folks have the proper credentials including parking passes and wristbands, directing vehicles, maintaining proper traffic flow, and assuring that folks park properly. We are looking for people that pay attention to detail, can help confidently direct traffic and can work in the elements of sun, rain, wind and dust.
These shifts are 4 hours each and all occur Friday-Sunday of the festival.
- West Gate Festival Entrance
- Duties include checking for appropriate Festivarian wristbands, educating campers on rules and regulations, and gently check backpacks for glass & alcohol. This is one of the entrances to the festival and sets the tone of friendly Festivarianism. This position is for people who can work quickly with a smile.
These shifts are 4 hours each and all occur Friday-Sunday of the festival.
- Libation Station
- Duties include pouring coffee and beer while having a BLAST! You must be 21 years of age to volunteer for this position. We are looking for folks that are outgoing and willing to have fun with every Festivarian. Smiling and laughing are highly encouraged while an ability to work quickly and with money is a must. There are many return volunteers for this position, so it fills up quickly.
These shifts are 4 hours each and all occur Friday-Sunday of the festival.
- Lavern Johnson (Meadow) Camp Gate
- Camp gate objectives are to greet Festivarians, exchange camping tickets for wristbands, check wristbands, educate campers on all rules and regulations, and have fun!
Shifts are typically 4 hour shifts and begin as early as Thursday before the festival through Sunday.
- Front Gate
- Greet Festivarians with a kind word, direct traffic, check tickets, vehicle stickers, wristbands, and direct Festivarians to the Box Office if necessary.
These shifts are 4 hours each and all occur Friday-Sunday of the festival.
- Family Tent
- Help children and their families with face painting, and arts + crafts. Face painting experience and patience is a must. There are many return volunteers for this position, so it fills up quickly.
These are all 4 hour shifts that occur during daytime hours Thursday through Sunday of the festival.
- Catering
- This highly sought after volunteer position is only those who have volunteered for Planet Bluegrass a minimum of 3 times and have restaurant experience. Shifts are 5 hours each (total of 15 hrs).
Shifts are available theThursday before the festival through Monday after the festival.
- Parking
- Greet Festivarians, help guide parking, answer questions and help assist at the different crosswalks.
These are all 4 hour shifts starting Thursday before the festival through Sunday.
